Hot Desk Policy

We are happy to offer a meeting room and four bookable desks for you to use free of charge. This has been funded by the UK Shared Prosperity Fund until 31 March 2025

All Hot Desk hires are free of charge. Parking

There is limited parking in the Civic Centre Car Park and free on street parking in the surrounding area.

On Arrival

Please sign in at the reception desk on the ground floor. The hot desks and meeting rooms are upstairs. We will endeavour to make sure that one of our team is there to meet you, especially if this is your first visit. If one of our team is not available, the reception team will be able to assist you.

Be Respectful

We hope that users will welcome the opportunity to connect with and chat to the other users as they work. We would like this to be a relaxed space. If you prefer a quiet space, then please book the separate meeting room.

When you leave, please clear away any personal items, throw away any rubbish, and wipe everything down with a provided antibacterial wipe.

WIFI code

The WIFI network is called TTC Guest, and the password is Kingfisher22

Phone Calls

Please ask other shared space users before making phone calls and, for confidentiality, please enquire if you need a separate room or step outside.

Security

Please do not leave sensitive documents on desks unattended.

Keep personal items with you and please do not leave your laptop open whilst unattended.


 

Food

If eating lunch at the desk, please respect others by avoiding food with strong odours and clear up after yourself.

There is a kitchen with tea & coffee making facilities and usually free biscuits!!

Printing

There is a professional printer, scanner and photocopier available on the landing. It can also print and enlarge to A3 size. We are working to get wireless access for everyone. In the short term there is a small printer located in the hot desk room. You can also print from the main copier by saving your document to a USB stick. We have a fair usage policy for volume printing, 500 copies black and white or 100 colour copies, per month. If you need to print a higher volume, please speak to us and we can agree a rate.

Health and Safety

Keep all desks clean and tidy and follow basic hygiene rules.

Covid, flu and colds travel fast in an office environment, please wipe desks down with antibacterial wipes after use. There are two fire exits located on the first floor. Please familiarise yourself with the fire exit and routes.

Please check that any cables or chargers you bring in are in good working order and do not represent a fire hazard.

Accessibility

There is a lift for easy access by wheelchair users.

5 simple rules for happy hot desking

 

1: Help yourself to coffee, tea and biscuits and please wash up after yourself.

2: Keep personal items with you and please do not leave your laptop open whilst unattended.

3: Please consider other hot desk users before making calls. If you would like a space to make private calls, consider booking a meeting room.

4: You may eat at your desk but please be respectful, no smelly food!

5: Clear away any rubbish and wipe down desks after use with the antibacterial wipes provided.
